Working as a Administrative Assistant
As an Administrative Assistant within our Marketing Department your role is crucial in providing comprehensive support that ensures our team's success. This dynamic position involves managing a wide array of administrative tasks, including scheduling meetings, handling communications, and maintaining organized records. As an Administrative Assistant, your support will enable the marketing team to focus on their core activities, such as developing strategies and executing campaigns. Your organizational skills and proactive approach will be instrumental in keeping our department running smoothly and efficiently, ultimately contributing to our company's overall success.
You will join a hands-on multi-disciplinary team, in which you’ll work closely together with other marketers as well as collaborating closely with sales, management, and our cyber experts that will support you in achieving your goals.
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the Marketing Department, including scheduling meetings, managing calendars, and preparing necessary documents.
- Communication Management: Handle communications with internal team members and external stakeholders, including drafting emails, making phone calls, and managing correspondence.
- Data Management: Maintain and organize website, department files, records, and databases, ensuring all information is up-to-date and easily accessible.
- Document Preparation: Prepare presentations, reports, and other marketing materials as needed, ensuring high standards of accuracy and professionalism.
- Budget Tracking: Assist in monitoring and tracking the marketing department’s budget, including processing invoices and expense reports.
- Vendor Liaison: Coordinate with Vendor Manager and service providers to ensure timely delivery of marketing materials and proofs to secure funding.
- Project Assistance: Provide support on various marketing projects, ensuring deadlines are met and tasks are completed efficiently.
- Event Coordination: Assist in the planning and execution of marketing events, such as trade shows, conferences, and promotional activities, ensuring all logistical details are managed effectively
- Brand Management; Your task is to ensure the correct usage and implementation of our brand guidelines, including our brand's colors, fonts, and overall style, across all assets.
What we expect of you
- 4 years of work experience: Preferably in an administrative role within a marketing department or related field.
- Communication Skills: Excellent written and verbal communication skills in Dutch, French and English.
- Proficiency in Office Software: Competence in using Microsoft Office Suite (Word, Excel, PowerPoint, Teams, sharepoint).
- Organizational Skills: Strong abilities to manage multiple tasks, prioritize effectively, and maintain a well-organized work environment.
- Attention to Detail: High accuracy and thoroughness in all tasks.
- Time Management: Effective management of tasks and deadlines.
- Problem-Solving Skills: Capability to resolve issues efficiently as they arise.
- Interpersonal Skills: Strong ability to interact and collaborate with team members and external contacts.
- Team Player: You are hands-on, self-motivated, and an excellent communicator, fostering a collaborative work environment.
